Privacy Policy
This policy explains how Aholler handles account, call, lead, integration, and calendar information.
Last updated: July 23, 20261. Scope and roles
Aholler provides AI receptionist, telephony, call analysis, lead management, appointment booking, and reporting services to businesses. This policy applies to the Aholler website, application, and related services.
For account, billing, and service administration information, Aholler acts as the organization responsible for that processing. For call, lead, and customer information submitted or collected on behalf of a business workspace, that business determines the purposes of processing and Aholler processes the information on its behalf.
2. Information we collect
- Account information, including name, email address, authentication records, workspace membership, and role.
- Business configuration, including AI receptionist prompts, knowledge documents, FAQs, routing rules, and phone settings.
- Call and lead information, including phone numbers, timestamps, audio or recording references, transcripts, summaries, outcomes, sentiment, tags, appointment intent, and follow-up activity.
- Integration information, including connected account identifiers, encrypted OAuth tokens, provider resource identifiers, and synchronization status.
- Subscription information, including plan, billing status, usage, and Stripe customer or subscription identifiers. Aholler does not store full payment card details.
- Technical and security information, including session data, audit logs, errors, and service diagnostics.
3. Google Calendar data
When a workspace connects Google Calendar, Aholler requests access only to identify the connected Google account, check calendar free/busy availability, and create calendar events requested through Aholler. The service may process the connected account email, calendar identifier, busy time ranges, event times, attendee details, event identifiers, and links for events created by Aholler.
OAuth access and refresh tokens are encrypted before storage. Free/busy results are used to answer the current scheduling request and are not used to build advertising profiles. Aholler does not sell Google user data or use Google user data for advertising, generalized AI model training, or purposes unrelated to the visible calendar-booking feature.
Aholler's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
4. How we use information
- Operate, secure, support, and improve the Aholler service.
- Answer and route calls, generate transcripts and summaries, classify leads, and provide analytics.
- Check appointment availability and create confirmed calendar events.
- Deliver account, billing, invitation, security, and workflow notifications.
- Process subscriptions, measure usage, prevent abuse, troubleshoot failures, and maintain audit records.
- Comply with applicable law, enforce agreements, and protect users, callers, Aholler, and the public.
5. How information is shared
We may share information only as needed with:
- Authorized members of the relevant business workspace.
- Voice AI, telephony, calendar, hosting, email, SMS, CRM, analytics, and infrastructure providers used to deliver requested features.
- Stripe for subscription checkout, billing, and payment administration.
- Professional advisers, authorities, or other parties when required by law or necessary to protect rights and safety.
- A successor in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate safeguards.
Aholler does not sell personal information.
6. Call recording and business responsibilities
A business using Aholler is responsible for configuring legally appropriate AI disclosures, recording notices, consent language, calling hours, and contact preferences. Callers should contact the business they called for questions about that business's collection and use of their call information.
7. Retention and deletion
We retain information for as long as reasonably necessary to provide the service, meet contractual commitments, resolve disputes, maintain security and audit records, and comply with law. Retention may vary by workspace configuration, information type, provider availability, and legal requirements.
Workspace owners and administrators can export workspace data. Disconnecting Google or Microsoft Calendar removes the active calendar connection from Aholler. Account, workspace, or personal-information deletion requests may be sent to support@aholler.ai. Limited records may be retained where required for security, billing, fraud prevention, legal compliance, or backup integrity.
8. Security
Aholler uses tenant-scoped access controls, role checks, encrypted integration credentials, authenticated sessions, audit logs, and transport encryption. No system can guarantee absolute security, and users must protect their credentials and promptly report suspected unauthorized access.
9. International processing
Aholler and its service providers may process information in countries other than the country where it was collected. Where required, we use contractual and organizational safeguards appropriate to the information and processing.
10. Your choices and rights
Depending on applicable law, individuals may have rights to access, correct, export, delete, restrict, or object to certain processing. Workspace members should first use available account and export controls. Callers may contact the business they called. Requests can also be sent to support@aholler.ai and may require identity verification.
11. Children
Aholler is a business service and is not directed to children under 18. Businesses must not intentionally use Aholler to collect children's information without an appropriate lawful basis and safeguards.
12. Changes and contact
We may update this policy to reflect product, legal, or operational changes. We will update the date above and provide additional notice when required. Questions and privacy requests may be sent to support@aholler.ai.
